As a society we push ourselves to work long hours, viewing this as a necessary evil in the pursuit of success.  Technology ensures we are constantly connected to our work, even when we are not physically at work.  Popular off-duty activities include fast moving sports and video games.  Even if we take up something calming like yoga, we often rush from yoga class to the supermarket, then home to deal with domestic responsibilities, negating the calmness brought about by the yoga.  With leisure time shrinking and the length of time we work, both per week and over our lifetime, lengthening is it any wonder that many people suffer from lack of sleep?

Many of my clients come to me complaining that they are too busy and have to work exceptionally long hours.  They are tired, stressed and beginning to feel resentful toward the business that they once loved because its demands are getting harder and harder to manage.  Often I hear them tell me they are skimping on sleep in order to keep on top of everything they need to do.

It is World Sleep Day on 15 March so what better time to investigate the impact of lack of sleep on our mental, physical and emotional wellbeing.

Long work hours result in not only tiredness but also a lack of attentiveness which in certain circumstances can have really dangerous outcomes.  Driving whilst tired is just as dangerous as driving whilst drunk;  our reactions are impaired and it is not unheard of for fatal accidents to result from people actually falling asleep at the wheel.  Those super long days driving between meetings are really not good for your health.

Distracted and Inefficient

Lack of sleep will make you distracted.  Concentration will be more difficult and you will possibly flit about from task to task, unable to quite finish anything.  The plethora of half done tasks will then start to annoy and upset you.  As your judgement and ability to plan is also impaired by lack of sleep, this may lead to poor decision making. You may also fail to realise that the time has come to stop doing a task because you are not achieving anything useful.

When we sleep we are not just laid in bed recharging ourselves like a battery.  Sleep is the time when our brain sorts out all the stuff we have done and learned that day and puts it into the right order to make sense of things.  If you don’t get enough sleep, that won’t happen and you will find you are struggling to learn.  In today’s fast paced world where continued learning is a critical skill in the workplace, lack of sleep can therefore cause real problems.

Memory Failures

Both long and short term memory are affected by lack of sleep.  We might notice that we have to try harder to take on board new information and keep it available in long term memory.  The impact on short term memory is more immediately obvious; we can’t recall things that happened two minutes ago.  This is the point where you go up and down stairs fourteen times before you finally manage to remember that you went up there to get your glasses.

(Not) Getting Things Done

Efficiency and productivity are reduced, so an all-nighter will usually make you less efficient and productive rather than more so.  Brain imaging studies have shown that your brain must work harder when you are sleep deprived, making it less efficient and as a result you are also less efficient.  Taking the time to have the right amount of sleep will actually mean you get more done rather than less.

Because your brain is tired it will rely on the well-worn pathways created by habits. This is fine if the habit is useful, effective and appropriate.  It’s not so good if the habit is unhealthy.

Relationships

Lack of sleep affects our relationships as well.  We have less empathy when we are sleep deprived and can’t read facial expressions as effectively.  This can lead to misunderstandings and conflicts can arise, particularly if both parties are tired.  This can have an impact on relationships as well.  For example, new parents who are being woken throughout the night by their infant may find this places a strain on the relationship.

The Solution

The good news is that just one or two good nights sleep can reverse most of the detrimental effects of sleep deprivation.  The occasional late night/early morning can be coped with but for long term health as well as optimum efficiency and productivity, a regular sleep pattern is recommended.  The type of sleep is more important than the number of hours you are physically laid in bed as well.  There are four sleep stages and Rapid Eye Movement (REM) sleep is the most important.  Research suggests that we need about two hours of REM sleep per night in order to feel alert the next day.  Whether you are a morning or evening person makes a difference as well.  If possible, early birds should retire early and get up early whilst night owls might sleep from 2am – 10am and feel wonderful on waking.

Business Processes: The Blueprint for Success

At the beginning of a new year our thoughts tend to turn toward making improvements in our business which will increase its size and revenue.  Often when a business grows rapidly, information about tasks and processes are held entirely in someone’s head.  If they leave the company this can leave a knowledge gap that can be difficult to fill.  New staff come in and are not sure what the business processes and procedures are and this can lead to problems with motivation, accuracy and speed of learning.  Even if your staffing is relatively stable, people get sick or go on holiday, leaving someone to temporarily carry out their tasks.

As a business grows, written business processes to govern how tasks are carried out, by whom and within what timescale will become increasingly necessary to ensure a consistent quality outcome.  Written processes also give a benchmark against which performance can be measured and a hand over plan when staff move on or change roles.

The first step when documenting a process or task is to break the process down into steps.  Identify who is responsible for each step in the process, what the outcome looks like at each stage and what order tasks should be completed in order to arrive at a consistently high quality outcome using the minimum effort and resources necessary.  Look at the stages of the process and identify any areas where tasks are handed between people. Ensure that these areas are particularly clearly documented and state who is responsible for each area of the outcome.  Add any milestones or targets required for timely completion.

List everything that you think could go wrong.  If appropriate, ask another person if they can see any areas where a failure might occur.

Write it all down but then put it away for a day or two.  When you go back to read it again, try to follow the steps.  Would you add new steps?  Do you understand what you wrote?  Could you express the task more clearly?  Would a diagram, screen shot or better explanation help?  What would you clarify?

Ask someone you trust to follow the process as  you have written it.  Can they follow it easily?  Do they understand it clearly or do you explain some elements more clearly?  How do they think it could be improved to make the outcome happen faster or more efficiently?  What input can they give which will help the overall process to move smoothly?

Provide links to all supporting information.  This might be a “How To” guide for a task that forms part of the whole, a manual that governs company process, legislative rules, or a related instruction that is already in place.

Include the locations of any files or forms that must be used.  If your documentation changes infrequently, example forms are fine to include.  However, if you can store the form on-line and publish a link in your process document this will make your documentation more future proof.  If the form is updated, your manual will remain applicable.

Contact details for all the teams involved in the process are also critical.  Using a link to the company contact list is helpful here.  Again, it future proofs your documents, reducing the number of amendments required.

If you must use jargon or acronyms, please explain it in a footnote.  It is particularly important to avoid these in induction manuals since your new team member will think they’ve landed in outer space without knowing the language.

Before a process is released into the world it should ideally be tested to identify any missing steps or incorrect information.   If you can, ask a representative of all the teams involved to look at the process to make sure it will work at every step in the process.

All business processes are live documents and should be subject to regular review, particularly when there have been major changes in the organisational structure.

An outsider can often view business processes more clearly than those who are within the organisation.  They come in with a fresh eye and new questions that you might not have thought of.  It can be a challenge to “see the wood for the trees” when you are so close to the action.  A new perspective can also help clarify priorities for change where there seem to be a lot of issues to resolve at once.  If this is an area you are struggling with, then do get in touch.  I have experience in setting up and improving processes and would be glad to help.

Successful Project Planning: Five Key Features

Project Planning involves managing a number of interconnected elements, ensuring all the strands fit together into a seamless whole and result in the outcome you were intending.  Although it might seem complicated to manage the many elements of a project, if you keep these five things in mind you will be well on the way to a successful project that comes in on, or below, budget.  And as a Yorkshire Gal, bringing things in under budget is always my preferred option.

Flexibility

Have a plan, but don’t treat the plan as though it is a fixed thing.  Most plans tend not to survive contact with the enemy and the key to bringing in a project to time and budget is flexibility.  Treat your plan like a framework.  Move things about within it so that time and resources, including human resources, are used to best advantage.

Dealing with Roadblocks

If you come to a road block in your project planning it is worth taking some time to step away, think things through, and consider re-jigging the plan before you press on.  Sometimes you will decide that pressing on is the right thing to do, particularly if there is no way to get around the road block. However, before you decide to press on, are you sure there is no way around that road block?  An old boss of mine used to tell me, “If you come to a wall, walk along a bit.  You might find you can go around it, rather than forcing your way through it.”  Sometimes, brainstorming some ideas with your team, or just leaving the problem for a few hours, can result in an innovative solution coming to you which will allow you to go around rather than pushing on through and is often a better solution than the original one.

Wiggle Room

When planning a project of any kind, remember to take account of contingencies and build in some wiggle room for delays and problems.  Wiggle room allows you to deliver problem projects bang on target, and routine projects early.  And what client doesn’t love, and provide glowing testimonials about, companies who deliver well within the timescale?

Blast Off

Remember:  “Never launch into a project with aggressive randomness.  Always take time to examine the project parameters first.”  This is a direct quote from a tutor I studied with a good few years ago.  It made me laugh then and it makes me laugh now.

How many times have you had an idea and then set off to implement it, without examining what will be needed?  For example:  you get up one morning, look at the bathroom ceiling and decide it needs painting.  You rush off to the DIY shop and buy paint.  When you get home and go into the garage to get the painting tools you find five litres of white emulsion you forgot you had bought, a broken roller tray, brushes with clumped together bristles and a rather sad, bald looking roller.  So, you trot off to the DIY shop again.  You buy a roller sleeve but decide to save money by not buying the cage and handle because you already have that.  You get some brushes and the roller tray and return the white paint from that morning.  When you get home the roller doesn’t fit the handle and you have to go back to get a new handle after all.  One initial trip to the garage to check on stocks and equipment, and perhaps a decision to take the roller handle with you to the shop, would have saved petrol, time, frustration and money.

Cost Control

Cost control is always a critical part of project planning and it can spiral out of control if it’s not managed.  DIY projects tend to be particularly prone to costing way more than you expect and taking twice as long as you expected.  This is because things always go wrong when we do things which we are not experienced in, or qualified to carry out.

Sometimes, it is cheaper and easier to outsource tasks.  Often it takes less time for an experienced person to complete tasks.  They will have the ability to apply tips and tricks learned over a number of years.  I’m not that good at DIY projects.  I am, however, brilliant at administration projects with a lot of experience of project planning and a number of tips and tricks in my arsenal that can save my clients time.  Here you can read about just one of the projects I’ve successfully completed for clients.

Choosing a Voice Recorder for your Business

Some of you will recall analogue Dictaphones.  The tapes would jam, snarl up and stretch from repeated use.  The sound quality was variable.  The recording time was limited and it was all too easy to accidentally wipe a tape by pressing the wrong button.  But times change.  The new breed of digital voice recorders are a huge improvement on the old analogue systems.  A modern voice recorder is an incredibly useful tool in the modern office with a wide range of practical applications across several sectors.

Can’t I just use my Smart Phone?

Most smartphones have a voice recorder on them.  These are perfect for practicing presentations, creating reminder type messages that you can listen back to, and also great for recording 2am thoughts that you can later note down and expand upon.  We often have our best ideas when we are out and about, just about to fall asleep, or following a really great discussion (whether at networking or in the local pub).  As most of us have our mobile phones with us all the time, they are great for this kind of off-the-cuff verbal note-taking.   Voice recording apps aren’t really designed for heavy-duty use but if you aren’t going to use the voice recorder for lengthy tasks and won’t need to transcribe your information very often then your smartphone may well be adequate for your needs.  Some smartphone apps do allow you to send the file to your transcriptionist via Email.  If this is something you intend to do, even if only occasionally, then it is worth checking that your chosen app will allow you to do this quickly and easily.  You should also check that your chosen transcriptionist can transcribe the file type on their system.  I use a system that will work with many, though not all, file types.  A good choice is an app which saves to MP3, MP4, or WAV format.  These work well with most transcription systems.

Dedicated Recorders and how to choose one.

If you want to use your voice recorder more effectively in your business, and really harness the advantages which they can bring, then a dedicated machine is best.  These machines have better sound quality, making the recordings clearer and allowing your Virtual Assistant to transcribe the information much more accurately.  Higher quality machines can also minimise background noise.  This is particularly important if you intend to use it for focus groups or interviews.

Consider the battery life if you are planning to use the machine a lot.  Some machines have a battery life of 48 hours which should be more than sufficient.  However, it is worth choosing a machine that takes standard batteries as it will be easy to carry a spare with you.  It will also be straightforward to purchase a replacement battery if you do forget the spare.

It is also important to consider the file format.  As with the voice recorders mentioned earlier, MP3, MP4 and WAV are popular formats which all transcriptionists should be able to work with.

The machine needs to sit nicely in your hand, not being too heavy, bulky or unwieldy.  It should have one press record and be easy to pause, replay and stop.  Some machines are voice activated which is a nice feature if you use it for interviews or meetings.  You can also get machines that will playback at variable speed, though if you are planning to send out your dictation, your Virtual Assistant’s system will allow for this so it is not necessary for you to choose that option unless you want it for your own playback purposes.

Some of the more expensive devices produce incredibly clear sound and have directional microphones which will record simulated 3D sound.  However, unless you are using your system for a very specialised activity which really requires that level of clarity, a mid-range machine should be absolutely fine.  It is worth taking into account the amount of storage which the advanced directional systems use.  This will reduce recording time.  You need to balance the need for accuracy against the available recording time and purchase your machine accordingly.

Recording time is related to memory capacity on a digital system.  The more memory the machine has, the longer it will be able to record for.   If you think you may need more memory at a later stage, then it would be worth looking at devices which have Micro SD slots so that you can add cards to extend the memory at a later stage.

When you are ready for the files to be transcribed, they can be sent via Email to your Virtual Assistant.  Alternatively, you can upload them to a shared cloud storage area and let your Virtual Assistant access the files from there.  I am happy to receive files via either method.   You can see more details about my transcription services here and can get in touch with me here to discuss your transcription task and book it into my diary for accurate completion.

8 Ways to Harness the Power of a Voice Recorder

Voice Recorders are useful for so much more than the traditional task of dictating letters, memos and reports. 

Here are eight ways to harness the power of the voice recorder in your business.  Doing so can save you time, and as we all know, time is money.

 Content Creation

If you have lots of ideas for content but all your ideas run away screaming at the sight of a blank screen or blank sheet of paper, then recording your content on a voice recorder can be a great way to get over that block.  Send the resulting recording to your Virtual Assistant.  They can turn it into a document that you can upload to your site with pride.  They will ensure the grammar and spelling are correct, source appropriate photos and create graphics to use with the post so that it looks polished and effective when you upload it to your site.

Send your VA the audio file from a video.  Great if you need a written version of your video for a handout. Very useful if you want to sub-title your video.  Brilliant for creating a blog post from your video content.  Re-using content in new ways is a wonderful way to increase reach by allowing your audience to consume content in the way they prefer.

Process Planning

Record all your ideas for innovations within your business and send the recording out to be transcribed.  Workflows, process documents, induction manuals and many other documents can be planned easily in this way.  Once you have recorded it all, your Virtual Assistant can transcribe it and, if necessary, organise the information into a logical sequence. The result is a bespoke document that fully reflects your business.

If you suffer from Blank Page syndrome and just can’t think when faced with a computer screen, why not create your business plan using a voice recorder and have your transcriptionist organise your thoughts into a plan that will help you to keep your business on track.

GDPR

This will bring changes to your business and you will need a written document which outlines how you will handle things like access requests, requests to be forgotten and of course, the all important plan for how you will store, manage and protect the data which you hold.  Tell your voice recorder all about your plans, the methods you will employ, and the safeguards you will put in place… your transcriptionist can turn it into documentation.

Focus groups.

Never miss anything in your group again.  Record it all and have someone transcribe it.  Don’t forget to ask people to talk one at a time though. HR consultants.

Within HR, the advent of the smartphone voice recorder has transformed meetings.  So many attendees surreptitiously record potentially difficult meetings on their smartphones that some HR consultants choose to openly record these types of meetings on dedicated voice recorders in addition to having notes taken longhand.  This two-pronged approach can help to ensure people feel they have received a fair hearing.   There is little room to dispute what has been said and the participants can agree on whether the minutes or the verbatim transcribed recording should be used.

Reminders.

If you are feeling overwhelmed with things to do, one option is to use your voice recorder to just list all the stuff you need to do.  You can just listen to it when you are planning your day.  A better idea is to send it to your VA for transcription.  Not only will they transcribe the information, but they may well be able to help you with some of the items on the list.  This will create more time for you to tackle the things on the list that only you can do.  Your To Do list will shorten instantly when your VA takes some of the routine tasks and admin items off your shoulders.

Authors and Researchers.

Whether you are writing fiction or non-fiction, a voice recorder can be your friend.  You can record ideas, chapters or even entire books if you choose, and send it all out to be transcribed.

If you are researching a subject it can be helpful to voice record ideas (quietly if you are in the library) from any sources you have consulted.  It’s also a very convenient way to keep track of your bibliography to ensure you don’t forget anything.  Just record each source on a single, dedicated audio file and send it out to your VA or transcription expert when you are ready.  They will transcribe it into your chosen layout as well, saving you endless hours messing about with the tab key and swearing a lot.

If your research involves interviewing people, you can use the voice recorder rather than taking notes, allowing you to fully concentrate on the person whom you are interviewing.  Your VA can then transcribe it all for you to review at your leisure.

Feels Like The First Time

2017 was the year that JJB Office Services turned one year old and there have been a lot of firsts this year.
First recorded video in June, and more recent, and considerably more nerve-wracking…. My first ever Facebook Live.
I also did my first presentation to a professional audience. I’m not a confident public speaker but I was reasonably happy with my performance and the content was well received. So much so that I’ll be creating a series of blog posts on the subject in the new year at the suggestion of a couple of the audience members.

Although I’ve been blogging about my leisure interests for a number of years I started blogging for business for the first time in 2017 which somehow felt very different.

Computer Love

My tech necessities for 2017 were my transcription software and MS Office. It is tempting to take the Office Suite of products for granted and just talk about shiny new tech. However, without MS Office my job would be literally impossible.

The tech that I’ve really been able to have fun with was Canva (https://www.canva.com) for graphics and photo collages, and Lumen5 for cool videos (https://www.lumen5.com). If you haven’t checked out the Lumen5 videos on my YouTube channel and website then do have a look at them. It’s a great tool to use and the results look so professional.

Goin’ By The Book

Being an avid reader, it is perhaps no surprise that my first year in business included reading a number of business books. My top three from this year were:

  • Business Networking for Dummies by Stefan Thomas.
  • The Success Principles by Jack Canfield.
  • Be A Free Range Human by Marianne Cantwell.

With a Little Help From My Friends

This year I learned a huge amount, some from training courses, but by far the largest amount from the small business community, both locally and further afield, who have been hugely generous with their advice and support. Thank you to every one of you. You all know who you are.

No review of the year would be complete without mentioning my lovely, lovely clients. All wonderful to work with and I have been privileged to help and support them in their business journey. I have loved every moment of working for each and every one of them and am looking forward to helping them achieve even more in 2018. I must admit I feel incredibly lucky to be doing what I love, working for myself, and being able to really see the difference I’m making.

Holidays and Small Business CAN mix

Whilst the long school holidays and warm weather are wonderful, they can create some challenges for small business owners. Staff will want to take holiday.  You want to take holiday.  But the work doesn’t take holidays.  Juggling the needs of family and business can be more difficult than usual, but there are ways to make it work.

“I can’t take a holiday. It just isn’t possible,” cried the small business owner.

Wrong answer. You can’t come up with new ideas, innovative marketing or fresh goals to drive your business forward if you are exhausted. Small business owners tend to work considerably longer hours than the average employee and have a huge level of responsibility. Working extremely long hours over a sustained period can result in reduced productivity, ill health, strained family relationships and burnout. Taking a holiday is an investment in both you and your business. You will return from even a short break, reinvigorated, rested, and ready to hit the ground running.

To keep your business running smoothly whilst you are away, consider the following:

Let clients know ahead of time so that their expectations are managed.

Get your work as up to date as possible before you go. Hand anything that must be completed during your absence to a trusted staff member, or your Virtual Assistant. Or, if you are the only person who can complete the task, renegotiate the deadline with the client.

If you have staff, ensure they are clear on what work needs to be completed in your absence and what the deadlines are.

Have a digital holiday. Don’t check your phone and email constantly. Plan to check once a day at a set time. The evening is often a good time. If you have left staff running the business, let them know when you will be checking in, but tell them to contact you only in an emergency.

Plan Ahead and Work Around

If you can, plan ahead and get as much work done as possible ahead of the holiday period. This allows you to relax during your time off, knowing work is under control. It is a good idea to leave some gaps in the work diary to slot new work and incoming tasks into so you accommodate work without feeling overwhelmed.

Scheduling your social media in advance is a great time saver, ensuring you have an online presence even when you are on holiday.  If you blog or Vlog, perhaps create a couple of extra posts prior to the summer period.   If you don’t have time to create new content over the holiday period, you can use one you have in reserve.  Other options include asking someone to guest blog during the holiday season and asking your Virtual Assistant to research and write posts for you.

Plan your diary well ahead and block out time for both business and family.  Having a plan allows you to feel confident that you will be able to juggle it all successfully.  Putting family time in the diary as though it was a business event makes sure it happens.

Book meetings and appointments well in advance.  Others will be trying to juggle priorities too and may have limited diary slots available as a result.

Having a plan and knowing when things are going to happen can reduce stress and overwhelm.

You could consider a more flexible working pattern on the days you plan to both work and spend time with family.  Everyone is different but one option is working early and late, leaving the middle of the day to spend with family.

If you have staff, you could increase the amount of work you delegate during the summer.  Allowing team members to widen their knowledge of the business will make future delegation easier.

Outsource

If your staff are taking holiday you may need to hire in holiday cover to ensure work continues in their absence.  Local recruitment companies can provide staffing or you can use a freelance with expertise in the area you need to cover.

If you can’t get everything done in your small business using the Plan Ahead, Work Around Method, another option to consider is outsourcing some of the routine admin work to a freelance administrator so that you can spend more of your time on revenue building activities.  Whether you need someone to schedule your social media, update your CRM, or keep on top of the emails, a freelance administrator can take the strain over the summer and is particularly appropriate if you do not have premises as they can work on your tasks from their own home.

The General Data Protection Regulations (GDPR) will come into force on 25 May 2018, replacing the current Data Protection Directive. It will bring significant changes to the way you handle data in your business. The legislation is very wide ranging and I can’t hope to cover all the areas that you might need to know about in one blog post. The area I am most often asked about is the impact of GDPR on information retention and on Email Marketing.

At its most basic level, the new legislation aims to ensure personal data is properly safeguarded, people’s privacy is protected, and we aren’t bombarded by unsolicited information. If you hold and manage personal data relating to EU citizens within your business, you will need to understand your responsibilities under the regulations. Even if your company is based outside the EU and UK, if you have contacts or clients there and you want to use their email address for marketing purposes, you must comply with the Regulations.

Accountability Principle

A key change will be the introduction of the Accountability Principle. This requires you to show HOW you comply with the principles by keeping a clear record of decisions taken about how each processing activity will be carried out.
Article Five of GDPR requires personal data to be:

• Processed lawfully, fairly and in a transparent manner.
• Collected for a specific purpose, that purpose to be made clear and explicit to all whose data you hold.
• No data to be further processed or used for other reasons for which you do not have, or have not sought, permission.
• You should hold only as much data as you need to complete the tasks for which you are holding the information.
• All data must be accurate and kept up to date at all times. Any inaccurate data found must be erased or rectified as soon as the inaccuracy is discovered. Also, if you have shared that data with someone else, you must inform them of the inaccuracy so they can alter their records also.
• Data should be kept only as long as is necessary for the processing purpose and must be held securely and protected against unauthorised or unlawful processing as well as against loss, destruction or damage.

Compliance

GDPR also requires that the Data Controller, which in a small business is usually the owner, takes responsibility for, and is able to demonstrate, compliance with the principles of the Regulations.
It is good practice to demonstrate compliance via a policy for Data Protection. If you already have such a policy which complies with the current Data Protection Act then updating it to comply with GDPR should be reasonably straightforward.
Without the ability to demonstrate that you comply with the legislation you could leave yourself open to criticism and potential enforcement action if you breach the rules. The costs of a breach under GDPR are much higher than under the Data Protection Act so it makes business sense to get this right.

Email Marketing

With respect to Email Marketing, the most important change is that silence, pre-ticked boxes and inactivity are not considered as consent to be marketed to. People must actively take steps to opt into your marketing. So no pre-ticked boxes on your Email Sign Up forms please.
As mentioned above, you must state very clearly the exact purpose for collecting the data and how you propose to use it. So, if you wish to add people to your Email list, you must tell them this and explain what they will receive in return, for example, a monthly or weekly newsletter.
Because you need explicit and verifiable permission to add someone to a marketing list, you can’t just add the details from all those business cards you got at that networking event to your Email list. You must ask the person for permission to add them. You can send one individual Email inviting them to join your list. This must be a single email, personally addressed, and cannot be sent via a mail marketing programme such as MailChimp.
Similarly, if you put out a bowl on your trade stand asking people to drop in their business cards, the bowl should have a notice clearly stating that people will be added to your mailing list if they provide their card. This allows them to choose whether to opt into your mailings. There is a problem here though, the new legislation will require you to provide traceable evidence of sign up to mailing lists. So you might find sign-up sheets or asking people to sign up via your website on a tablet, a better choice for growing your email list at trade shows.
Although we are mainly discussing Email marketing, if you want to collect phone numbers to call or send text messages or collect addresses for traditional mailings, you need to seek permission to use each type of data (eg: phone, SMS, mail) and provide the option for people to opt in or out of each separate method so they can choose the methods of contact they are most comfortable with. Provide an empty tick box for each option.
Since every bit of personal data you collect about a person is another bit of data you are responsible for (and must secure) it makes sense to only collect what you need and will use. Particularly as the penalty for breaching the regulations is a very hefty fine.

Consent and Email Marketing

It really is all about getting verifiable consent. One way to get this verifiable consent is to use a system such as MailChimp to build your list as it has a double opt in. People will not be added to your list until they have responded to a second email which asks them to confirm that they really did mean to sign up to your list. This double opt in information can be used to prove permission to use the data.
The new rules specify very clearly that there must be an unsubscribe button or method by which the person can arrange to be removed from the mailing list and that this MUST be very prominently displayed and easy to find. Hiding it, or making it difficult to locate, is not an option.
Individuals will also have the “right to be forgotten”, that is, they can request to have their data erased with no trace of the information left behind. If someone requests this then it must be done as soon as possible and no further marketing materials sent to them.
GDPR will also prohibit the sale or exchange of personal data and it will not be possible to use data collected for one purpose (such as Email newsletters) for another purpose.
Even if you have previously obtained permission to use people’s email address, you will need to seek renewed permission to use that address ahead of the new legislation.

Action Points

So what action do you need to take?

• Review any areas of your business where you request email addresses, whether that is pop up windows on your website or sign up forms. Check that all the pop ups and sign up forms are clear and specific and include all the ways in which you might be going to use the Email address so visitors are very clear about how you will use their data.

• Keep a record of the permissions you are sent so that you can be quite certain, and can prove, that you have permission to market to each individual.

• If you have an old list you must gain permission to use each address on it. To do that, you would need to individually email each person on the list and ask them whether they would like to join your mailing list. Do not use the Carbon Copy (CC) function in your Email system to send messages to several people at once. Doing so will allow data to be seen by everyone you are emailing and thus breach the regulations.
It is possible to send to multiple email addresses using the Blind Carbon Copy (BCC) Function because each individual will see only themselves as an addressee. However, don’t send to large numbers of addresses all at once in this way. You will get blacklisted as a spammer if you do.

It is easier to be more productive if your environment is organised in a way that makes sense to you.  Time is money.  If you can find things easily and quickly when you need them, rather than scrabbling through boxes of dis-organised paperwork you will be able to make best use of your time.  Of course, organising the office takes time, you are busy and perhaps feel you have more pressing tasks to deal with.  However, tackling it a bit at a time makes the task more manageable.

You could start with the desk, removing clutter and finding ways to organise the items you require so they are to hand.  If you can find things more easily then you will be able to work more quickly.  Organising the desk need not be expensive either.  I love IKEA for low cost organisation solutions. For example, I use a plastic IKEA cutlery tray for pens, paperclips and staples etc.  The tray slides up the drawer easily so items stored under the tray can be retrieved quickly.  If you don’t have time to trek off to IKEA, there are other options.  Empty jars, Syrup and Treacle tins are great for storing elastic bands, paper clips, and other small items.  Tins are also great for pens, pencils and rulers.  Perfect if you prefer your stationery out on the desk, right where you can grab it.

Are you comfortable?  Is everything where you can reach it easily and safely? If you have a land line phone, do you need to stretch to answer it? Is your computer screen, keyboard and mouse located at the right height and at a comfortable distance from where you are sitting?  Can you adjust your chair to ensure adequate back support?  If you are uncomfortable you will cause health problems.  In addition, it is difficult to work productively if you are uncomfortable.  There are a number of websites which provide advice on how to set up your workstation effectively.  One very useful source of information is this NHS site:  How to sit correctly

Are the wires of your computer and devices snaking all over the place and creating a mess or a trip hazard?  Try taming them with wire tamer tubes.  These are available at IKEA and at DIY stores.  Alternatively, lower cost solutions include Ty-Raps or string.  In my house, wires get tied up with knitting wool because I always have some lying around.

Pinterest is full of really great ideas for keeping office items under control, including the Lego Figure approach.  Stick a flat Lego brick to your desk then stand your Lego figure on the brick, put your cables into the figure’s hands, and you have an instant wire tamer.  This will only work with fine wires such as Iphone cables and phone chargers.  There are also numerous Pinterest boards showing varied Lego-related organisation ideas for both home and office.

There are many ideas available to increase the efficiency of your work area and help with productivity including a number of blogs and Pinterest boards.  But if you don’t want to spend time trawling the internet for ideas (after all, the point is to increase productivity, not spend hours on Pinterest), then you could approach a Virtual Assistant.  Many Virtual Assistants, myself included, are able to organise offices to ensure they are healthy, productive places to work.  If you would like some help getting your office organised, please click here and choose you preferred method to get in touch with me.
